CSU SAAC Executive Council

The Executive Council consists of the following SAAC members:  Chair, Co-Chair, Secretary, Treasurer, Social Chair, and Public Relations Chair.  The duties of each Executive Council member are listed below.

Chair

  • Conduct all meetings.
  • Create meeting agendas.
  • Attend additional meetings, either within CSU SAAC, Conference SAAC, or other applicable forums when necessary or appropriate. 
  • Active, voting member serving on the Executive Council.
  • Communicate with Advisor once per month, if not bi-weekly, to discuss pertinent information and meeting agendas.
  • Communicate, effectively, with Executive Council, as well as SAAC members when appropriate.
  • Serve as the spokesperson for SAAC and address student-athletes, coaches, and administration when necessary.
  • Oversee and regulate the “Cougars Supporting Cougars” (CSC) initiative to ensure each team is committing to the cause and purpose of CSC.  Each team’s efforts will be communicated to the Advisor via the Chair.
  • Assist in the creation or modification of policies and procedures, events, projects, initiatives within, or overall direction of SAAC, as well as solicit assistance from other SAAC members or CSU varsity teams when needed.

Co-Chair

  • Conduct meetings in Chair’s absence.
  • Active, voting member serving on the Executive Council.
  • Attend additional meetings, either within CSU SAAC, Conference SAAC, or other applicable forums when necessary or appropriate. 
  • Oversee SAAC fall fundraiser.
    • Work with Advisor and PR Chair(s) regarding advertisement, solicitation, staffing, organizing, and coordinating of event.
    • Formulate sub-committees and delegate responsibilities, where appropriate, to ensure the success of the event.
    • Assist in the creation or modification of policies and procedures, events, projects, initiatives within, or overall direction of SAAC, as well as solicit assistance from other SAAC members or CSU varsity teams when needed.
    • Any duties deemed necessary by the Chair and/or Advisor.

Secretary

  • Actively taking minutes at each SAAC meeting.
  • Disseminating minutes via e-mail to all members (noting meeting highlights, upcoming events, and any additional, pertinent information).
  • Active, voting member serving on the Executive Council.
  • Attend additional meetings, either within CSU SAAC, Conference SAAC, or other applicable forums when necessary or appropriate. 
  • Assist with Committee communication.
  • Assist in the creation or modification of policies and procedures, events, projects, initiatives within, or overall direction of SAAC, as well as solicit assistance from other SAAC members or CSU varsity teams when needed.
  • Additional duties as deemed necessary by the Advisor, Chair, and/or Co-Chair.

Treasurer

  • Create and submit a budget to the Committee at monthly meetings and/or after fundraising events.
  • Manage the revenue of SAAC and the Make-A-Wish® Foundation, as well as the expenditures of the Committee.
  • Any and all expenditures must be approved by the Advisor and Treasurer prior to.  If not, no reimbursement can be granted. 
  • Reimburse SAAC members for expenses appropriate to SAAC.
  • Assist in fundraising efforts and management of funds/donations received.  
  • Active, voting member serving on the Executive Council.
  • Assist in the creation or modification of policies and procedures, events, projects, initiatives within, or overall direction of SAAC, as well as solicit assistance from other SAAC members or CSU varsity teams when needed.
  • Additional duties as deemed necessary by the Advisor, Chair, and/or Co-Chair.

Social Chair

  • Serve as a liaison for SAAC within CSU’s Student Government Association (SGA).
  • Attend SGA meetings, as deemed necessary, to be aware of campus activities/events and to promote athletic events, SAAC fundraisers and overall information regarding athletics.
  • Active, voting member serving on the Executive Council.
  • Assist in the creation or modification of policies and procedures, events, projects, initiatives within, or overall direction of SAAC, as well as solicit assistance from other SAAC members or CSU varsity teams when needed.
  • Additional duties as deemed necessary by the Advisor, Chair, and/or Co-Chair.

Public Relations Chair

  • Assisting CSU’s Sports Information Department on press releases/stories/photos on SAAC fundraising efforts, events and projects.
  • Assist in the communication efforts of the Committee with regards to meetings, events, shifts, etc.
  • Assist the Advisor in advertising and/or marketing of SAAC throughout the CSU campus and Columbus community
  • Any marketing/advertising/communication efforts must receive final approval by SAAC Advisor.
  • Active, voting member serving on the Executive Council.
  • Assist in the creation or modification of policies and procedures, events, projects, initiatives within, or overall direction of SAAC, as well as solicit assistance from other SAAC members or CSU varsity teams when needed.
  • Additional duties as deemed necessary by the Advisor, Chair, and/or Co-Chair.

Election of Executive Council

Election of the Executive Council will be held at the second to last SAAC meeting of the spring semester. 

Elections will be moderated by the Advisor and current SAAC Chair and will be conducted in the following manner: 

  1. Any member, who has served on the Committee at least one full semester, may nominate themselves for the Chair position.  They must explain why they are interested and what personal qualities they can bring to the title. 
  2. Each member will then be given six (6) pieces of paper. 
  3. Each will be asked to cast their vote, out of the self nominations for SAAC Chair, who they would like to see occupy the vacant position. 
  4. The Advisor and current SAAC Chair will leave the room and count the votes. 
  5. The current Chair will then announce who has been elected to serve as the next year’s Chair. 

Steps 1-5 will be repeated for the Co-Chair, Secretary, Treasurer, Social Chair, and Public Relations Chair positions.

A special election will be held in the event that a member of the Executive Council is unable to carry out his/her responsibilities.  In the event the current Chair cannot fulfill his/her duties, the Co-Chair will be promoted and a general election will then be held to fill the role of Co-Chair.  The process and requirements will be the same as the spring election.

The election process, as well as the creation or modification of any events, projects or initiative, will be that of a majority vote.  The SAAC Advisor has no voting power, except in the event of a tie; the Advisor will cast the tie-breaking vote.

The Executive Council has the power to rule on behalf of the student advisory committee when necessary and appropriate.
